Overview

Paid Time Off (PTO) at CareSphere is designed to support our employees' well-being by allowing time to rest, recharge, or attend to personal needs without sacrificing income.A woman relaxes in a hammock, enjoying a book under the sun.

Employees accrue PTO based on hours worked and can use accrued time for planned vacations, personal appointments, or emergency needs. Our policy ensures fairness, flexibility, and transparency, while also supporting our clients’ expectations for reliable care.


Who Is Eligible

All active CareSphere employees are eligible to accrue and use Paid Time Off.

Full-time and part-time employees

All roles and departments

Employees who have worked at least 30 hours (to begin accruing)

Please Note:

PTO accrual begins as soon as you start working shifts. However, you may only use PTO once hours have been accrued. There is no automatic balance granted at hire.


What the Benefit Includes

The Paid Time Off benefit allows you to earn paid leave for every hour worked. Here’s how it works:

  • Accrual Rate:
    For every 30 hours worked, employees accrue 1 hour of PTO.
    This means that if you work 300 hours, you will have earned 10 hours of PTO.

  • Pay Rate:
    PTO is paid at your base hourly rate.
    If you have received a higher temporary rate for a specific client or shift, that premium rate does not apply to PTO usage. Only your regular base rate is used when PTO is paid out.

  • Accrual Visibility:
    You can check your current PTO balance at any time by logging into VIVENTIUM.
    The platform tracks hours worked and automatically updates your PTO balance.

  • Eligible Uses:
    PTO can be used for:

    • Personal days

    • Planned vacations

    • Appointments

  • PTO During Holidays:
    PTO is not automatically applied during holidays. If you choose to take time off during a holiday and have available PTO, you may request to use your hours.

  • PTO During Jury Duty:
    Jury duty time off is unpaid by default. However, if you have accrued PTO, you may choose to apply your hours to receive pay.


How to Access or Apply

  1. Check your PTO balance in VIVENTIUM

  2. Submit your PTO request at least 7 days in advance via Caresphere Connect.

    • Provide the date(s) and duration of time requested.

    • Submit to your supervisor or coordinator following your department’s standard process.

  3. Emergency Time Off Requests:

    • Contact your coordinator as early as possible.

    • Explain the nature of the emergency.

    • If no PTO is available, the absence will be unpaid, and a negative PTO balance will be recorded.

  4. Approvals and Denials:

    • Time off is subject to supervisor approval based on client coverage needs.

    • Time off during a new client assignment or without proper notice may be denied or treated as a violation of policy.


Important Rules & Policies

  • Unpaid Time Off:
    If no PTO is available, time off may still be granted, but it will be unpaid and recorded as a negative balance until hours are accrued.

  • Base Rate Only:
    PTO is paid at your standard hourly rate, not at temporary or client-specific bonus rates.

  • Bad Weather:

    • Care is expected rain or shine.

    • If a state of emergency is declared and you cannot safely reach the client:

      • You must call out before your scheduled shift.

      • You may choose to use PTO if available. Otherwise, the day is unpaid.

  • Holidays:
    If you are unavailable to work a holiday:

    • Call your Coordinator to arrange makeup hours.

    • If you cannot make up the hours, submit a time off request with 7 days notice.

    • PTO will only be deducted if you have hours available and choose to use them.

  • Jury Duty:

    • Provide 7 days written notice.

    • The time off is unpaid unless you elect to apply your accrued PTO.

  • No PTO Payout at Separation:

    • If you resign or are terminated, accrued unused PTO will not be paid out.

How much Paid Time Off (PTO) do I earn?

You earn 1 hour of PTO for every 30 hours worked.

What happens if I haven't accrued enough PTO?

If you don't have enough PTO, the time off will be considered unpaid, and unexcused.

Do I get paid for jury duty or holidays?

You will only get paid if you choose to use your PTO; otherwise, time off for jury duty or holidays is unpaid by default.

Will I get paid for unused PTO if I leave the company?

No, accrued but unused PTO is not paid out upon resignation or termination.
